5. Consent and Other Authority

We handle personal information in accordance with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and other applicable laws. Depending on the activity, we rely on meaningful consent, the information needed to provide requested services, or legal obligations. We do not make optional personalized-advertising consent a condition of receiving an estimate or painting service.

6. Information Sharing

We do not sell your personal information. We may disclose limited information to:

  • Operational Service Providers: payment, email, hosting, form, scheduling, CRM, communications, and automation providers that support our business
  • Analytics and Advertising Platforms: Google Analytics, Google Ads, and Meta business tools for website analytics, campaign measurement, conversion reporting, and, only with the separate opt-in described in Section 8, customer-list matching
  • Professional Advisers and Legal Authorities: where reasonably necessary for legal compliance, claims, accounting, or protection of rights

7. Cookies, Pixels, and Conversion Measurement

We use cookies, pixels, and similar technologies to remember preferences, secure sessions, understand Site usage, attribute leads to advertising, and measure ad effectiveness. These website technologies are distinct from the optional CRM customer-list activity in Section 8. You can manage browser cookies and use the privacy controls offered by Google, Meta, and other platforms; disabling technologies may affect functionality or measurement.

8. Optional Meta Customer List Advertising

If you are shown a separate optional choice and affirmatively select it, Ottawa Painters may use your email address and/or phone number to create or update an Ottawa Painters customer-list audience with Meta Platforms, Inc., which operates Facebook and Instagram. Before transmission, the identifiers are normalized and cryptographically hashed. Meta uses the hashed identifiers to attempt to match them with Meta accounts.

The purposes are to show relevant Ottawa Painters advertising on Facebook and Instagram, follow up with consented prospective customers whose estimates remain open, avoid or suppress inappropriate advertising after a project is sold or consent is withdrawn, measure advertising effectiveness, and improve ad delivery. Meta may process the information according to its terms and privacy practices, including to support matching, measurement, security, ad delivery, and its platform operations.

This activity is optional. The choice is not preselected, declining does not affect your estimate or service, and merely submitting a quote request does not enroll you. We upload only people for whom we retain an affirmative consent record. We do not infer this consent from a general privacy-policy acceptance, an email open, silence, or a prior service relationship.

You may withdraw this consent at any time by emailing info@paintersottawa.com from the email address you want removed, with the subject “Meta advertising opt-out.” That sender address is processed automatically. If you cannot send from that address or need a different email address or phone number removed, identify it in the message so we can process the request manually. We will add the identifier to our internal suppression record, remove it from Ottawa Painters customer-list audiences, and block future uploads unless you later provide a new affirmative opt-in. Meta audience updates may take time to process. You may also use Meta’s own advertising controls, but those controls do not replace a withdrawal request made directly to us.

9. Other Third-Party Analytics and Advertising

  • Google Analytics: helps us understand Site usage and performance; Google provides its own privacy and opt-out controls
  • Google Ads and Meta Business Tools: help deliver, attribute, and measure advertising and are subject to the providers’ terms and privacy controls

10. Data Retention

We retain personal information only as long as reasonably necessary for the identified purposes and legal obligations. Project, accounting, and tax records may be retained for legally required periods. Consent and suppression records may be retained for as long as needed to demonstrate and honour your choice. Customer-list membership is removed when it is no longer needed, when the applicable purpose ends, or when valid consent is withdrawn.

11. Your Rights and Choices

12. Security

We use safeguards appropriate to the information and risks, including encrypted connections, access controls, restricted account permissions, and service-provider security measures. No method of transmission or storage is completely secure.

13. Processing Outside Canada

Some providers, including Meta and other technology providers, may process information outside Canada, including in the United States. Information processed in another jurisdiction may be accessible to courts, law enforcement, or regulators under that jurisdiction’s laws.

14. Children’s Privacy

Our Site and services are not directed to children under 13, and we do not knowingly collect their personal information. Contact us if you believe a child has provided information so we can investigate and take appropriate action.

15. Changes to This Policy

We may update this policy to reflect legal, operational, or technology changes. The “Last updated” date identifies the current version. A policy update does not retroactively create consent for a new optional disclosure. Where a new consent is legally required, we will request it before beginning that activity.
